Privacy and your data

GoMotion is a licensed private hire operator. A condition of that licence is that we keep a full and accurate record of every booking. This page explains plainly what that means for you.

What we record

For every booking, our licence requires us to record:

Your name

The lead passenger's forename and surname.

How to reach you

A telephone number, an email address or a home address — at least one of the three.

Accessibility needs

What anyone travelling needs, and any notes you give us. We are required to ask on every booking.

When you asked

The date and time the booking was made.

Your journey

Where you were collected, where you were going, and when.

Where you were set down

If it turned out to be somewhere other than the destination you booked.

Who took the booking

The member of staff, or that it came in through this website.

Who drove you

The driver's name and licence number, and the vehicle's registration and licence number.

Who dispatched it

The member of staff who allocated the job, and every driver offered it.

If you cancelled

The date and time you asked to cancel.

Pickup and destination location

The precise coordinates of your pickup and drop-off, not just the text address — this is what draws the route and gets an accurate fare and driving time. If you tap “use my location”, that comes from your device's own GPS, with your browser's permission each time — we never read your location without you actively asking us to.

Technical details

The IP address and browser your device connects with, used only for account security (recognising your session, and limiting how many attempts can be made at signing in or booking) and never for tracking or marketing.

How long we keep it

12 months from the date of the journey. That is what Wolverhampton City Council requires of us. After that the personal details are removed from the record — the numbered entry itself stays, without your name or contact details in it, so that our booking numbering remains consecutive and verifiable.

Who can see it

Personal information obtained in the course of our business is stored securely and retained only as long as absolutely necessary, in compliance with data protection legislation. Access is restricted to those persons who need it for the purpose for which it was collected. Inside our office, access is limited by role — a booking clerk sees what they need to take your booking, and no more. Every time a member of staff opens a record containing your details, that is itself recorded.

We also have to give records to authorised officers — the licensing authority and the police — when they ask for them. Urgent requests are answered within 4 hours and all others within 7 days. Every disclosure is logged.

We do not sell your details, and we do not pass them to anyone for marketing.

A small number of specialist companies process data on our behalf, only for the specific job we use them for, and never for their own purposes:

Stripe

Processes card payments. We never see or store your full card number — Stripe handles that directly.

Resend

Sends booking confirmation, driver and journey-complete emails on our behalf.

LocationIQ

Turns the address or location you give us into map coordinates, a route and a fare — this is a live lookup, not a stored profile of your movements.

Things left in our cars

Property left behind often contains personal information — a phone, a wallet, a folder of papers. We log it, store it securely, and only hand it back once we've checked identification. See lost property for how that works.
